FAQ for Incoming Staff
1 Before Mobility
Q: Does being nominated and having a signed Mobility Agreement guarantee my selection and funding?
No. Pre-selection and nomination by your university, as well as the signature of the Mobility Agreement by UCA, do not guarantee final selection or funding. The final decision depends on UCA’s evaluation of all nominations and the available budget for your region and mobility type. UCA will confirm your selection and grant allocation via email after the final review
Q: I’ve been nominated. What are the next steps?
- Make sure your Mobility Agreement is ready: Ensure it is signed by you, your home university, and UCA. Your agreement must detail: the exact dates (5 working days, Monday to Friday), a clear work plan (e.g., teaching hours, training activities, or job shadowing), and the learning outcomes and expected impact on your professional development
- Register online: UCA will send a link to the registration form. Upload your passport and Mobility Agreement.
- Prepare for travel: Book flights and accommodation (consider UCA’s campus locations). UCA does not arrange these, but will provide guidance.
Q: I’ve been selected for a mobility to Cádiz, but I haven’t received the link to the registration form yet. When will I get it?
UCA sends the link to the online registration form progressively, prioritizing mobilities with earlier starting dates. If your mobility is scheduled for later in the academic year, you may receive the link closer to your planned start date. If you haven’t received it within 12 weeks before your mobility, please contact welcome.centre@uca.es to confirm your details and ensure there are no delays
Q: Do I need a visa? If required for entry into Spain, UCA will provide an invitation letter to support your visa application. Check visa requirements with the nearest Spanish consulate
2 During Mobility
Q: What can I expect upon arrival? UCA will send pre-arrival instructions, including:
- Where and when to collect your grant (bank check).
- Contact details for your host department and the International Office.
- Information about orientation sessions or welcome events
Q: Will I receive a Certificate of Participation? Yes. UCA will issue a certificate confirming your mobility activities, usually on the last day or upon departure. Provide your home university’s requirements (if any) to UCA
3 After Mobility
Q: How will my mobility be recognized? Your home university is responsible for recognizing your mobility activities. Ensure your Mobility Agreement is approved and signed by all parties before departure to facilitate recognition
4 Practical Information
Q: Where will my mobility take place? UCA has four campuses (Cádiz, Puerto Real, Jerez, and Algeciras). Your host department will confirm the exact location. Plan your accommodation accordingly
Q: What language should I use for teaching/training? Spanish or English (minimum B2 level required). Confirm the language with your host department before arrivaloip.ku.edu.tr.
Q: Who should I contact for help during my stay? Your main contacts are:
- Your host department at UCA.
- UCA’s International Office (welcome.centre@uca.es) for administrative or emergency
5 Funding and Expenses
How much funding will I receive for my mobility? The grant for incoming staff includes:
- Daily rate: €170 per day.
- Duration covered: 5 days of mobility (Monday to Friday) plus 2 additional travel days (one before the start and one after the end of the mobility).
- Total grant for subsistence: €170 x 7 days = €1,190.
- Travel support: Calculated automatically using the Erasmus+ Distance Calculator based on the distance between your home institution and Cádiz. The amount varies according to the distance band.
- Important: You must arrange and fund your own travel and accommodation upfront. The grant is a contribution and may not cover all expenses
Q: When and how will I receive my grant? You will receive your grant as a bank check on the first day of your mobility. Bring a valid ID to collect it. The check can be cashed at local banks
